Academic Advisor I --- Judy Muzny (100%)

General Summary

The primary duties and responsibilities of this position include the payroll processing of new student wage workers; biweekly payroll administration; serving as leave coordinator. Provides administrative support to the Director of Technology Assisted Instruction.

Duties

Prepares biweekly payroll preparation reports (approximately 100 student wage workers), collects time sheets and audits for required information (i.e. supervisor's signature, proper documentation when time sheet is received past deadline, verify appropriate leave is posted in Leavetraq), obtains proper administrative signatures.

New employee processing of all student wages workers. These duties include all paperwork associated with new employees, coordinating state mandated training, and arranging international students access to the Glacier program. Establish Universal Identification Numbers (UIN) when necessary. Prepares EPAs and supplementals as needed. This workload is considerably heavier at the beginning of the fall and spring semesters. Assists current employees with routine human resource inquiries, e.g., how to access HRconnect and Leavetraq, how to enroll in direct deposit and electronic notification of earnings, and personal data changes.

Serves as one of the leave coordinators for the Leavetraq program. Verifies annual leave and sick leave records for eligible employees.

Provides administrative support to the Director of Technology Assisted Instruction and responds to a multitude of questions and concerns from students related to the Masters of Science in Mathematics at a Distance program. Duties and responsibilities include conferring with distance students regarding programmatic and procedural requirements, but does not include direct student academic advising. Conduct queries on the SIMS database. Process degree petitions and degree plans, and remains current on TAMU student rules and regulations. Maintain student files consisting of official and confidential matters. Interact with College of Science Dean's Office, Office of Graduate Studies, Graduate Admissions Office regarding admissions, registration, and other student matters.

Assist the Business Associate III with preparing travel vouchers for payment, for Blocker faculty, from TAMU accounts.

Assists Administrative Secretary with front office reception duties including phone and visitor reception, routine inquiries, messaging, and scheduling room reservations. Aids in coordination of make-up tests and Disability Services exams and assists with routine SIMS inquiries. Acts as back-up for other duties as necessary. Performs word processing, prepares spreadsheets, and proofreads as necessary.

Education

Required:
High school graduation or an equivalent combination of training and experience.

Preferred:
Business courses at high school or college level.

Experience

Required:
Two years general office experience.

Individual should possess good written and oral communication skills and sufficient organization abilities to complete job responsibilities within given deadlines and with accurate attention to detail.
