Administrative Secretary --- Julissa Ortiz

Summary

The Administrative Secretary provides administrative support to the Teaching Operations Office in the Department of Mathematics. Duties and responsibilities include the coordination of help sessions and teaching evaluations, and assisting the Associate Department Head, Administrative Coordinator, and Blocker faculty with a variety of tasks relating to the teaching operations of the department.

Duties

Help Session Coordinator. Duties and responsibilities include the overall organization of help sessions: scheduling rooms, processing applications for prospective help session workers, verifying applicants grades on SIMS; assigning work schedules; creating spreadsheets; typing help session schedules for distributuion; providing information to course coordinators; scheduling orientation and course coordinator meetings; ensuring all help session are adequately staffed at all times; apprising the Associate Department Head and course coordinators of any related problems; collect, check for accuracy, and sign biweekly time sheets and authorize time off requests for all help session student workers.

Faculty and Graduate Assistant Teaching (GAT) Evaluation Coordinator for Teaching. Duties and responsibilities include assembling an evaluation packet for each course section and recitation offered each semester; this includes creating labels; duplicating evaluation forms; distributing evaluation packets, and collecting and organizing packets for analysis.

Assist Associate Department Head and Administrative Coordinator with a variety of tasks related to the teaching operations of the department. This includes checking grade change request forms for accuracy; processing grader applications each semester; creating/updating department tutor list; dispersing first, fifth and twelfth day class rosters; dispersing and collecting midsemester and final grade sheets; inputting and updating instructor information in the SIMS database; maintaining teaching records; collecting instructor's first day handouts; creating a spreadsheet of faculty office hours.

Assist Blocker faculty with various teaching, research and service activities. Examples of duties and responsibilities include: reserving classrooms for review sessions, coordinating exams with Support Services; administering make up exams for faculty members; ordering teaching supplies; typing routine correspondence, reports, transperancies, class materials and other materials as requested; proofreading for completeness and accuracy.

Teaching Operations Office Reception. Provide phone and visitor reception, responding to routine inquiries; forwarding (via email) phone, package and fax notification messages to recipients. Sort and distribute daily mail; expedite express mail requests and assist with bulk mailing; prepare and maintain mailbox allocations and labeling. Responsible for ordering and maintaining an inventory of office supplies. Maintains and distributes department keys for offices and computer laboratories. Stock and update Teaching Office form files. Responsible for coordinating purchase, set-up, and clean-up of refreshments for seminar talks, colloquiums, and summer programs. Record monthly photocopier account data. Schedule seminar and conference rooms; schedule four Blocker classrooms after 5:00pm. Phone routine maintenance problems to TAMU Area Maintenance. Maintain faculty photo board, updating each semester as necessary. Assist with photocopying and courier run requests when student workers are unavailable. Locks administrative offices at 5:00pm each work day. Performs related duties as required.

Education

Required:
High school graduation or any equivalent combination of training and experience, with specific training in the use of word processors.

Experience

Required:
Two years experience at the Senior Secretary level or equivalent training and experience.

Preferred:
Three years experience at the Senior Secretary level in the Texas A&M University System.

Equipment

Required:
Working knowledge of standard office equipment - computer terminal, typewriter, photocopier, fax, etc.
