JOB DESCRIPTION (March 2005)
Summary
Provides administrative support to department faculty relating to the overall
management and coordination of workshops, conferences and summer programs
sponsored and/or hosted by the Department of Mathematics.
Duties
Provides administrative support to faculty with responsibilities related to
the overall management of conferences, workshops, and summer programs.
Conferences and workshops occur year round and vary in size from small groups
of approximately thirty attendees to large events of over four hundred
participants, such as the annual High School Math Contest held each November.
Summer programs include the Linear Analysis and Probablity Workshop, Advanced
Placement and Maple workshops, and the TAMUPREP and graphics animation
workshops for junior and senior high school students.
Duties and responsibilities include, but are not limited to creating and
updating web pages related to the event, advertising and recruitment of
participants, communicating with participants via phone, email or paper mail,
arranging local accommodations and special rates for participants, overseeing
the compilation and assembling of workshop materials, coordinating parking
arrangements, establishing the daily event calendar by reserving meeting
rooms, speakers and refreshments.
Assists the Chair of the Speakers Committee with the coordination of the
Frontiers in Mathematics Lecture Series. This includes corresponding with
guest speakers, scheduling seminar talks, assisting speakers with travel
itineraries and local accommodations, and posting speaker information to
department web pages. The Department of Mathematics hosts over 200 visitors
each year, many of whom are from foreign countries.
Must possess sufficient writing skills to compose letters, memos, and other
miscellaneous correspondence under faculty members signature. Assists
chairpersons of various university committees with their specific projects as
required.
Must effectively communicate, in a highly professional manner, with faculty,
administrators, researchers, staff and students, and with the many callers and
visitors from outside the TAMU community. This position requires excellent
organization skills, accurate attention to detail and evening and weekend
hours.

Required:

Bachelor's degree or any equivalent combination of training and
experience.

Three years experience in office administration. Excellent computing skills,
with demonstrated skill in the use of spreadsheets, database software
packages, word processing, and electronic communications.
