JOB DESCRIPTION (July 2006)

Senior Office Associate --- Sherry Floyd

General Summary

Performs advanced office activities in support of the Department Faculty and the Administrative Office involving the exercise of judgment in work methods and procedures. Assist in the supervision of daily office support activities including providing phone and visitor reception, expediting express mail and bulk mail requests, supervising courier and library services, and responding to routine inquiries. Monitors fax machine for incoming faxes and sends outgoing faxes as necessary. Provides administrative support to all faculty and staff as requested.

Responsible for distribution of biweekly payroll. Supervises and provides distribution of e-mail, phone, package, and fax notification messages to recipients. Sorts, distributes, and forwards daily mail; prepares and maintains mailbox allocations and labeling. Posts and monitors seminar and colloquium announcements to bulletin boards. Shelves newly received journals in department library.

Schedules meetings and seminar rooms; reserves classrooms for help and review sessions. Responsible for coordinating purchase, set-up and clean-up of refreshments for seminar talks and colloquiums. Monitors equipment check out and availability. Coordinates exams with Disability Services; administers make-up exams for department faculty. Handles routine SIMS inquiries.

Monitors and updates data in the faculty/staff database, and the faculty/staff departmental world wide web pages. Types routine correspondence, reports, phone lists, transparencies, class materials, and other materials as requested; proofreads for completeness and accuracy. Stocks and updates departmental front office form files.

Assigns math department visitors offices and keys as necessary. Checks visitor offices for necessary supplies and upkeep. Checks keys in and out to graduate students and sees that their offices are cleared when they leave the department. Assists the Business Coordinator I with the collection of fees for phones, faxes, and seminars. Assists Business Coordinator I with gaining signatures on completed travel vouchers.

Maintains general office and teaching supplies including ordering and restocking. Orders educational books and supplies when necessary. Maintains faculty photo board, updating each semester as necessary. Assists with photocopying requests when student workers are unavailable. Locks administrative offices and building at 5:00 p.m. each work day. Performs related duties as required.

Education

Required:
High School Graduation or any equivalent combination of training and experience.

Preferred:

Experience

Required:
Seven years of experience in general office or clerical work.

Preferred:
Three years in secretarial work in the Texas A&M University System. Must possess competent computing skills and be proficient in the use of word processing and electronic mail programs. Individual should possess good written and oral communication skills and sufficient organization abilities to complete job responsibilities within given deadlines and with accurate attention to detail.
