Senior Secretary --- Sherry Floyd

Summary

Performs advanced secretarial duties in support of Department Faculty and the Administrative Office involving the exercise of independent judgement in work methods and procedures.

Duties

Provides phone and visitor reception, responding to routine inquiries. Email, phone, package, and fax notification messages to recipients. Sorts, distributes, and forwards daily mail; expedites express mail requests and assists with bulk mailings; prepares and maintains mailbox allocations and labeling. Posts seminar and colloquium announcements to bulletin boards. Responsible for distribution of biweekly payroll.

Orders books as necessary. Shelves newly received journals in department library. Receives, shelves, and returns Evans Library Project journals.

Types routine correspondence, reports, phone lists, transparencies, class materials and other materials as requested; proofreads for completeness and accuracy. Assists the Business Associate III with the collection of fees for phones, faxes, and seminars. Assists Business Associate III with gaining signatures on completed travel vouchers. Provides administrative support to all faculty and staff as requested.

Maintains office equipment including toner needs and paper level. Monitors equipment check out and availability. Monitors fax machine for incoming faxes and sends outgoing faxes as needed.

Maintains general office and teaching supplies including ordering and restocking. Assists with ordering and restocking kitchen supplies. Responsible for coordinating purchase, set-up, and clean-up of refreshments for seminar talks and colloquiums. Schedules meetings and seminar rooms; reserves classrooms for help and review sessions. Coordinates exams with Disability Services; administers make-up exams for department faculty. Handles routine SIMS inquiries.

Stocks and updates Front Office form files. Phones routine maintenance problems to TAMU Area Maintenance. Assigns math department visitors offices and keys as necessary. Checks visitor offices for necessary supplies and upkeep. Maintains faculty photo board, updating each semester as necessary. Assists with photocopying requests when student workers are unavailable. Locks administrative offices and building at 5:00 pm each work day. Performs related duties as required.

Supervision

Received:
General instruction and occasional review from the Administrative Coordinator.

Given:
Detailed initial instruction and frequent review of tasks directed to student workers.

Education

Required:
High school graduation with supplemental course work in office procedures, or equivalent combination of training and experience.

Required:
Two years secretarial experience. Must possess competent computing skills and be proficient in the use of word processing and electronic mail programs. Typing speed of 35 wpm.

Individual should possess good written and oral communication skills and sufficient organization abilities to complete job responsibilities within given deadlines and with accurate attention to detail.

Preferred:
Three years in secretarial work in the Texas A&M University System.
